Rosie’s Rainbow Fishes Booking Terms & Conditions

By ticking the box on the booking form you are accepting the following terms and conditions.

All lessons are booked via our website www.rosiesrainbowfishes.co.uk.  A successful booking will result in you receiving an email and text confirmation with details of your venue, teacher, time and date plus a Paypal confirmation.  If you don’t receive these please contact Rosie on rosie@rosiesrainbowfishes.co.uk or 07721 710594 as you may not have secured the lesson.

Clients from the previous month will get priority over new clients for booking lessons for the next month.  Customers with allocated lessons will have priority booking over these lessons for the following month.  Rosie will communicate when clients are permitted to book lessons via the WhatsApp groups.

Cancellation and Refunds

If you need to cancel a lesson please send a message to Rosie on 07721 710594.  The lesson will then be advertised via our existing clients  WhatApp groups and once it has been rebooked a refund will be given.  Where refunds need to be issued the refund will be the full amount minus the PayPal and Twilio (text messaging service) fee paid during the booking process.  If the lesson isn’t rebooked then no refund will be given. 

Photography and Videography

Please check with the teacher before taking photos or videos of your little ones.   We must respect the wishes and rules of the venues where we teach.  In the majority of cases it is fine to take pictures of your little one in the pool.  We love celebrating and sharing the success of the children we teach on our social media platforms and our website so if you are happy for your child to be on these platforms please send any good photos and videos to Rosie on 07721 710594.

Medical conditions and special needs

We will treat all information provided by you as confidential and only share with other staff on a need to know basis so please advise us on the booking form of any additional needs that you or your child may have.  If you or your child have any medication that may be needed during the lesson, for example Asthma inhalers, please bring them onto poolside and make your teacher aware of where you have placed it. 

Illness

Please consult with your medical professional if you are unsure if illness will prevent you or your child from swimming.  

You will not be permitted if you have any of the symptoms below;

  • Any cases of sickness and/or diarrhoea must have 48 hrs clear of any or all symptoms
  • Chicken pox, ear infections, heavy colds, impetigo, conjunctivitis
  • Open wounds

Your teacher reserves the right to refuse entry to the pool if they believe your child is not well enough.

If you need to cancel the lesson please see the section above “Cancellation and Refunds”.  

Nappy Policy

If your little one has not been toilet trained for more than 6 months then your child should wear a double nappy system which consists of a paper or reusable swim nappy and a Splashabout Happy Nappy (link below) over the top. If you do not have the appropriate nappy system then your lesson will be cancelled and no refund given.  All our venues charge a fee for cleaning of the pool which will be passed onto customers who have not adhered to this policy or who’s child is not suitably attired for swimming.

Please be prepared to take all nappies home with you.  Do not put nappies into normal bins or sanitary bins as our teachers will have to remove these.

Our Team

We are on hand to make your experience enjoyable. We will not tolerate any threatening behaviour to any member of our team and reserve the right to cancel lessons for any customer whose is deemed to breach this rule.

Procedures for clients 

A separate guidance document is on our website regarding the procedures that must be followed when attending your lesson at each pool.    Please make sure you are familiar with the procedures before your lesson in order to keep yourself, your teacher and other clients safe during this time.  Before your swimming lesson please ensure you have showered at home to remove any body oils, lotions and creams that will effect the cleanliness and functionality of the pool.

Consistency of Teachers

When lessons are advertised the name of the teacher will also be listed.  We will endeavour to keep this teacher with the lesson you have booked but cannot guarantee this in the case of illness. We may from time to time introduce additional teachers into the pool, this will be to assist our training programme and will not affect the quality of your lessons.

Exclusion of Liability

1.1 Nothing in this agreement limits any liability which cannot legally be limited, including but not limited to liability for:

  • (a) death or personal injury caused by negligence;
  • (b) fraud or fraudulent misrepresentation; and
  • (c) breach of the terms implied by section 2 of the Supply of Goods and Services Act 1982 (title and quiet possession).

Subject to clause 1.1, the total liability of Rosie’s Rainbow Fishes to you shall not exceed five million pounds. Our total liability includes liability in contract, tort (including negligence), breach of statutory duty, or otherwise, arising under or in connection with this agreement.

Safeguarding Policy

Rosie’s Rainbow Fishes accept that its main responsibility is for the well-being and safety of those young and vulnerable who swim with us. This is done in the belief that by placing their welfare at the centre of our concerns we are providing a solid foundation for the development of our next generation of swimmers and for effective Child Protection practice.

We have adopted and adhere to the Swimming Teachers Association Safeguarding and Protecting Young People policy, procedures; Good Practice Guidance; and Code of Ethics and Behaviour. We are committed to these principles, which include:

  • Recruitment, selection and retention of persons with access to young people;
  • Criminal records bureau (DBS) checks;
  • Anti-bulling; and
  • Taking and use of photographic and recorded images of young people.

It is also recognised that Child Protection is a mutual commitment between teachers and parents / guardians. Notwithstanding the Child Protection procedures laid out below, teachers will work with parents / guardians to develop a mutually beneficial relationship.

Personal data and WhatsApp groups

Our website stores the personal data that you enter at the point of booking lessons.  This data will not be shared with any third party.  All teachers have access to this information, which includes your phone number and email address, in order to communicate with you.  Your mobile number may be used to be part of a WhatsApp group to communicate lessons and therefore other customers will have access to your number.  If you do not wish to be part of one of these groups, please just delete yourself from the chat. 

When booking 221 lessons your mobile phone number will be shared with the other party who you are swimming with in order to be able to co-ordinate booking.  To share payment of a lesson one party will pay via the website and the other party will transfer half of the lesson fee using PayPal Friends and Family.  All you need to share to be able to do this is your PayPal email address.  If you do not wish for your phone number to be shared with the person you are sharing your lesson with you need to let Rosie know at the time of rebooking.   

Your email address and phone number may be used for further communication about lessons and changes to policies.  Neither will be shared with any third parties.

Acceptance & Changes to Terms and Conditions

Terms and conditions may change from time to time, the latest version will be available for you on the website. If you do not agree with the changes you must notify us in writing within 14 days. If we do not receive any such notification it will be deemed you have accepted the latest updated version.

Booking

All lessons are booked via our website www.rosiesrainbowfishes.co.uk.  For the children group lessons you book the first week of the month for the day and time you want to swim for the entire month.  You will pay for the whole month via the one booking.  For adult pay as you go group lessons you will need to individually book the weeks that you want to swim each month.  A successful booking will result in you receiving an email and text confirmation with the details of your venue, teacher, time and date plus a Paypal confirmation.   If you don’t receive these please contact Rosie on rosie@rosiesrainbowfishes.co.uk as you may not have secured the lesson.  

For the following month you will have priority on booking the same time / day for your lesson.  You will be given 24 hours priority booking to secure your slot.

Refunds

Where full course refunds need to be issued the refund will be the full amount minus the PayPal and Twilio (text messaging service) fee paid during the booking process and this will only be available prior to the first lesson.  No refunds are given after the first lesson has taken place.  For the pay as you go sessions, the lesson will then be advertised via our WhatApp groups and social media pages and once it has been rebooked a refund will be given.  Where refunds need to be issued the refund will be the full amount minus the PayPal and Twilio (text messaging service) fee paid during the booking process.  If the lesson isn’t rebooked then no refund will be given. 

Missed lessons

If you miss a lesson due to illness or holiday, Rosie will try to re-arrange the lesson but the ability to do this is dependent on your flexibility / availability to do another day and the space being available on a class that fits with your child. Classes cannot be carried over to another  month and refunds for individual missed lessons are not available. 

Holiday Lessons

Per calendar year we offer 2 offer holiday lesson credits.  If you know you are going to miss a lesson the following month please message Rosie on 07721 710594 and a one lesson credit will be applied.  

Photography and Videography

Please check with the teacher before taking photos or videos of your little ones.   We must respect the wishes and rules of the venues where we teach and others in the class.  In the majority of cases it is fine to take pictures of your little one in the pool.  We love celebrating and sharing the success of the children we teach on our social media platforms and our website so if you are happy for your child to be on these platforms please send any good photos and videos to Rosie on 07721 710594.

  • Chicken pox, heavy colds, impetigo, conjunctivitis, eye infection
  • Open wounds
  • Babies with ear infections should not swim as the movement created by swimming a child in the water can hurt their ears and head as well as spreading infection in the pool.

Always check with a medical/health practitioner if you require further information on an illness or condition as we are not qualified to offer advice in this department. Please let your teacher know if there is any change in the status of medical condition for your child; whether it is a previously disclosed or new illness.

Your teacher reserves the right to refuse entry to the pool if they believe your child is not well enough. 

Nappy Policy

If your little one has not been toilet trained for more than 6 months then your child should wear a double layer nappy system which consists of an inner layer and an outer layer..

Inner layer

You can use disposable swim nappies (Huggies Little Swimmers) but our recommendation would be to purchase a reusable/washable inner layer with a liner as this could save you money in the long term & it is kinder on the environment. Outer layer

This should fit snugly & create a seal around the leg & waist so no leakages occur.  We recommend the Splash About Happy Nappy range as they are the market leaders and have lots of different designs for all ages plus costumes, jammers and wetsuits which incorporate the Happy Nappy.  Here is a link to the entire Happy Nappy selection – happy shopping!

Wetsuits, Swimming Costumes, Surf shorts.

These are all optional products that your baby / child can wear over their double layer nappy to provide added warmth or stop baby from feeling slippery.  Some of the Splash About products incorporate Happy Nappies into their designs for example the Sunsuit, Costume and Jammer Wetsuit.  Please note that if a wetsuit, costume or sunsuit are worn that does not incorporate a Happy Nappy then this will need to be purchased in addition.  Your teacher reserves the right to check that your child is wearing the appropriate swimwear before and during the lesson and your lesson will be cancelled if failure to comply.
